Checklist for an event

  1. These are some of the points to be considered when organising an event.
  2. Check the Calendars to see which courses have been used recently or are booked in the coming months and isn't subject to wet conditions if booking over the winter months.
    Check previous Fixtures there may be some comments about a course in the report.
  3. Decide if you want bacon rolls and coffee on arrival.
  4. Select a date for the event - normally the third Saturday in the month. This is not set in stone. Booking 4 tees initially ensuring we can reduce this nearer the time. 
  5. Get the latest email list from Bruce or the website and circulate the event to all by email, asking for responses by a certain date.
  6. Two weeks before your event re-circulate a list of all responses - yes no or no reply. This acts as a reminder and confirms you have their acceptance, verbal or by email and others can see whos going for lift sharing. 
  7. At this point guests can be invited to fill any spare slots. 
  8. If a deposit is required. - either pay yourself or Bruce will pay from Society account. There may be a contract to sign and return to the club. (normally negotiate the lowest deposit possible - normally £50) 
    Check what happens if its really bad weather, our numbers dwindle at the last minute. Please do not pay upfront for the full amount. until you have warned members that this will happen and they will be liable if they don't turn up.     
  9. How many days before the event do they need final numbers.
  10. If a Player cancels after the final numbers are notified, what has to be paid for, if anything.
  11. Bruce will bring the Nearest the pin markers, computer and three sleeves of balls if attending.
  12. Make a list of the handicaps from the web site and take it to the event.
  13. ON THE DAY OF THE GAME
    Write names, handicaps and nearest the pin and or longest drive holes on the score cards.
    Find out if there is anything we should all know from the Pro shop. eg distance markers - are they middle or front of green? Winter rules on/off, Bunkers GUR or not
  14. Collect the green fees plus £3.00 subs.
  15. Pay the Pro shop for the green fees minus deposit, repay deposit to  yourself or the society.
  16.  Ensure the subs money is either transferred to the society account or Bruce.
  17. Decide who plays in which group giving the Nearest the Pin and/or Longest drive markers to the first group
  18. Enjoy your round.

    AFTER THE GAME
  19. Ensure results are entered into the computer. Bruce, Steve, Andy  can advise on how to enter them
  20. Be prepared to make a speech for prize giving.
  21. In conclusion, score cards, NP/LD markers and computer to Bruce

    ONCE YOU GET HOME
  22.  After the event Bruce will send you a copy of the final scores to assist you in writing a report. Once completed send it to Bruce who will add it to the website.
  23. Now you an relax and look forward to doing it next time.
